Instantly vs Apollo.io

Instantly and Apollo.io overlap enough to be compared, but they start from opposite ends of the outbound workflow. Apollo is a B2B contact database that added email sequencing. Instantly is an email sending platform that added a contact database. Knowing which half of the job matters more to you makes the choice much easier.
At a glance
- Instantly is best for teams whose bottleneck is sending capacity and inbox placement. Outreach plans start at $47 a month with unlimited email accounts.
- Apollo.io is best for teams whose bottleneck is finding and qualifying prospects. It has a free plan, and paid plans are widely reported at $59, $99 and $149 per user a month on monthly billing.
Where Instantly is strong
Instantly is designed for sending across many mailboxes. All outreach plans include unlimited email accounts and unlimited warm-up, with pricing based on contacts and monthly emails. Inbox rotation spreads a campaign across mailboxes automatically, and replies from every account arrive in one unified inbox.
Instantly also sells access to a database of more than 450 million leads, with waterfall enrichment and AI research tools. This is priced separately through credit plans starting at $47 a month, or bundled with outreach in combined packages.
Where Apollo.io is strong
Apollo's core asset is data. Its database covers well over 200 million contacts and tens of millions of companies, with filters for job title, company size, technology used, funding and buying intent. Reps can build a list, enrich it, and push it into a sequence or a CRM without leaving the product.
Sequencing in Apollo includes email, call tasks and LinkedIn tasks, along with a dialer, meeting scheduler and deal tracking on higher plans. Pricing is per user, with monthly allowances of mobile and export credits. The free plan is generous enough to evaluate the data quality properly before paying.
Key differences
- Core purpose. Instantly is a sending platform. Apollo is a sales intelligence platform with engagement features.
- Pricing. Instantly charges by sending volume. Apollo charges per user, with credits for data.
- Mailboxes. Instantly allows unlimited sending accounts. Apollo limits the number of mailboxes per user, with higher limits on higher plans.
- Warm-up. Instantly includes a large warm-up network. Apollo's deliverability features are lighter.
- Workflow breadth. Apollo covers prospecting, sequencing, calling and pipeline. Instantly concentrates on email outreach, with a CRM alongside.
Deliverability notes
This is where the two differ most. Apollo makes it very easy to export a large list and enroll it in a sequence from a single mailbox. That convenience is the usual cause of trouble: too many emails from one address, sent to contacts who were never verified.
Instantly's structure pushes users toward the safer pattern of many mailboxes sending small daily volumes. That does not make it immune to misuse, but the defaults are closer to good practice for cold email.
A common setup is to use both: Apollo to build and enrich lists, an email verifier in between, and Instantly to send. If you send from Apollo directly, keep daily volume per mailbox low, use a dedicated outreach domain, and verify every address first.
Which should you choose?
- Choose Instantly if you already have a source of leads and need to send at scale with strong inbox placement.
- Choose Apollo.io if you need accurate prospect data and want a single tool for a small sales team's prospecting and follow-up.
Instantly pricing was checked on the vendor's pricing page in October 2026. Apollo's per-user prices come from third-party pricing guides, because Apollo's own page did not display them when we checked. Confirm current rates with both vendors before you buy.
